JOB DESCRIPTION

 

TITLE: SECRETARY TO ASSISTANT SUPERINTENDENT (BUSINESS – INSURANCE)

 

REPORTS TO: ASSISTANT SUPERINTENDENT OF BUSINESS

 

JOB GOAL: THE CENTRAL OFFICE SECRETARY WORKS UNDER GENERAL SUPERVISION AND ASSISTS IN ALL FUNCTIONS DEEMED NECESSARY.

 

Performance Responsibilities

 

  1. The secretary will adhere to all local, state and federal regulations.
  2. Will adhere to all regulations set forth by the Poplar Bluff Board of Education.
  3. Must be pleasing in manners and dress.
  4. Works under the supervision of the immediate supervisor.
  5. Operates office equipment.

 

Job Duties and Responsibilities

 

    1.  Acts as receptionist greeting all visitors in a polite manner.
    2.  Will practice good telephone manners.
    3.  Maintains copies of correspondence and all other materials pertaining to that office.
    4.  Keeps the supervisor aware of all telephone messages.
    5.  Assists supervisor in gathering information for reports and meetings.
    6.  Maintains appointment calendar.
    7.  Keeps supervisor aware of scheduled meetings.
    8.  Types letters, memos and any information assigned by supervisor.
    9.  Types purchase orders when necessary.
    10.  Maintains files containing confidential material.
    11.  Operates office equipment such as photocopier, adding machines, calculators, typewriters,computers and digital copiers.
    12.  Helps to prepare various kinds of lists and reports.
    13.  Prepares federal reports when required.
    14.  Must be responsible for all necessary budgeting controls and helping to prepare the budget for the district.
    15.  Gather data and prepare statistical materials.
    16.  Assist at workshops with registration and distributing materials.
    17.  Provide information for routine questions.
    18. Prepare needed financial reports for the Board of Education.
    19. Coordinate use of district vehicles, schedule repairs, and cleaning, licensing vehicles.
    20. Handles all health insurance accounts.
    21. Handles all workers compensation insurance claims.
  1.         Retiree insurance billing – send quarterly statements, collecting and depositing monies and
  2.         pay monthly premium statement.
  3.         Have a basic knowledge of employee group health policy – deductibles, co-insurance and general coverage. Work with employees and insurance carrier to answer questions and solve any problems which may occur.
  4.                     
  5.  Send out Cobra law insurance forms to terminated employees by certified mail as required
  6.                      by law.
  7.  Order supplies as necessary.
  8.  Assist in publishing bids, filing and maintaining documentation.
  9.  Coordinates luncheons when instructed by supervisor.
  10.  Enroll new employees for District Health, Dental and Life Insurance.  
  11.  Assisting in filing claims for food service.
  12.  Maintains reporting and assist payroll with all Affordable Care Act forms.
  13.  Reconcile Insurance liability accounts.
  14.  Maintains portions of Core Data required for MO Department of Elementary and Secondary
  15. Education.
  16.  Perform all other duties as assigned.  
  17. Essential Functions of the Job         
  18.                           
  19. Must be able to lift and carry boxes of paper or equipment that can weigh approximately 30 pounds.                           2.   Must be able to climb and work from ladders, step stools and climb stairs.                                                              6.   Must be able to understand and follow-up on oral and telephone delivered orders and instructions.
  20. 5.   Must be able to read and understand written orders and instructions.
  21. 4.   Must be able to communicate clearly with teachers, students, administrators, and other staff members. Including the public, in both orally and written communication.
  22. 3.   Must have dexterous use of both hands to be able to operate computers, typewriters and other related office equipment.
