TITLE:  SECRETARY, PBTCC

 

REPORTS TO:    POPLAR BLUFF TECHNICAL CAREER CENTER DIRECTOR

 

JOB GOAL:     TO OPERATE THE SCHOOL OFFICE IN A FRIENDL, SYSTEMATIC, ORDERLY, BUSINESS-LIKE MANNER

 

PERFORMANCE RESPONSBILITIES:

  1. The TCC secretary will adhere to all local, state and federal regulations.
  2. Will adhere to all rules and regulations set forth by the Poplar Bluff Board of Education.
  3. Is under the direct supervision of the Director of the Technical Career Center.
  4. Typing skills are required.
  5. Must be able to take shorthand if required by principal.
  6. Must be able to keep an accurate set of books or the schools activity fund, indicating all receipts and expenditures.
  7. Must operate all office equipment.
  8. Have the ability to meet the public in a friendly, courteous manner.JOB DUTIES AND RESPONSIBILITIES:

  1. Type all purchase orders for the Poplar Bluff Technical Career Center.
  2. Compiles all secondary student absentees, notifies sending schools, and sends “Student Absence Reports” weekly to all sending schools.
  3. Monitors all adult attendance and grades in the Trade and Technical programs in order to meet Federal guidelines for student financial assistance.
  4. Organizes all VIMS/VAMS activities including the following: Beginning of year operations including building and updating all student, staff and master schedule files. Post all competencies for each student. Scan all tests for student mastery tracking. Print “Student Directory” for quick access in locating students. Assign Vocational Educational Data System (VEDS) reporting code to each student. End of year close out procedures, according to statistics supplies by the Job Service Technician. Print the Job Service Technician address labels for each student that requires follow up procedures. Print “Student Assessment Report” for the Job Placement technician to compile all current employment information required for state reimbursement of vocational staff salaries. Prepare diskette with follow-up status data for mailing to State Department of Education. Print “Student History Profile” for all existing students. Post all teacher absentees for use in teacher evaluations.
  5. Power up WI-CAT computer system daily, set up job queue station and printer and make necessary changes in relation to current operations. Assist staff with operation of the system. Back up all files as needed. Power down system after all work stations have been logged out.
  6. Type all Individual Vocational Education Plan (IVEP)’s and Individualized Educational Program (IEP)’s for the Vocational Resource Educator.
  7. Processes all VICA rosters and handles all VICA correspondence.
  8. Assists the coordinator and instructor of the “Student-at-Risk” program with the following activities:Mail required parent and household information packets.Verify all documents required in student file for Job Training partnership Act (JTPA) monitoring.Bill each month for reimbursement of student-at-risk teacher salary and benefits.                                                                                                CL – SEC – 20

  10. End of the year termination reports on students who complete the program.
  11. Complete and mail required “Eligibility Assessment” and “Status Change” forms to Ozark Action.
  12. Follow up with letters to service agencies for pertinent information.
  13. Determine eligibility for enrollment.
  14. Monitor hours of attendance on students in the Basic Education Instruction (BEI)
  15. Program and send reports to the Director of Adult Basic Education.
  16.
