Title:   Maintenance Office Secretary

 

Reports To: Maintenance Supervisor

 

Job Goal: Perform duties assigned in a friendly, organized and professional manner.

 

Performance Responsibilities:

  • The maintenance office secretary will adhere to all local, state and federal regulations.
  • Adhere to all regulations set forth by the Poplar Bluff Board of Education.
  • Typing skills are required.
  • Professional dress is required.
  • Exhibit professional telephone skills.
  • Answers all incoming calls to the maintenance office.
  • Maintains copies of correspondence and all other materials pertaining to the office.Job Duties and Responsibilities:

  • Greets visitors in a polite manner.
  • Maintains appointment calendar for supervisor and department.
  • Prepares state and federal reports when required.
  • Maintains federal and state regulations updates.
  • Provide building officials copies of regulations to post in each building, when updates are made.
  • Completes all purchase orders for the maintenance department.
  • Responsible for daily deposits made for maintenance office.
  • Responsible for budgeting controls. Assist director in the budget.
  • When director is not available serve as a resource to others for routine questions.
  • Fill warehouse supply orders.
  • Gather data and prepare statistical materials.
  • Provide assistance with all duties assigned by the director.

 

Essential Function of the Job:

  • Ability to exert up to 30-60 pounds of force to lift, carry, push, pull, or otherwise move objects

     3-10 times per day.

  • Must be able to climb and work from ladders.
  • Must be able to communicate (both verbally and written) with teachers, administrators, the State Department and the U.S. Department of Education.
  • Exhibit the ability to understand speech at normal levels and the phone.
  • Manual dexterity to operate a telephone and enter data into computer using both hands.
  • Must be able to work indoors and outdoors (outdoors in hot, wet, and cold weather).
  • Must hold valid driver's license and be able to travel to buildings within the district.
  • Fulfill other duties assigned by the administration.
